One of the most discussed skills in fields such as education and business is the concept of ‘communication’, and more specifically, ‘skills in oral or written communication’. Skills in communication involve both knowledge of what good communication is and how to produce good communication. By definition, in the verbal realm, it is the effective employment of spoken words, and in the written realm, what we choose to write is all important. We then proceed to express ourselves through clear, concise, pertinent, and coherent words, which are directed into glossing our thoughts and insights to the recipient(s). This composition becomes our vehicle to publicize our message(s) to various publics – first, there is ourselves, for we are always our first audience. After us, we seek to project thoughts, ideas, or insights to limited or large audiences for the purpose of additional exposure and thoughts, teaching or learning, clarity, and ensuring understanding and agreement or simply to achieve results or feedback, such as in the instances of job interviews or testing situations for promotion or assignment of duties. Therefore, communication personnel must develop appropriate transposing vehicles to verbalize and bid their thoughts to gain understanding, to engage publics, and to determine collective agreements and positions.
Avoid attempting power plays or manipulative messages through communications. Realize that power plays, threats, and challenges in the workplace can result in withdrawal or counterattacks. Avoid using fellow employees as scapegoats when feeling pressured. It is critical to take responsibility for conflicts and to work through crises in a collaborative manner. At times, it may be best to terminate a meeting in order to resume productive communication at a later time. Resist the temptation to spring a surprise attack to win a resolution. Set up appointments for serious or long problem discussions.
Ensure that the feelings you experience are sent accurately. Ensure that nonverbal communication signals the same message as the words used when responding to others; even minor inconsistencies can create confusion and stress. Avoid communicating passivity or wishy-washiness. Speak up for yourself and express your needs and opinions. Do not allow yourself to be interrupted. Likewise, do not overwhelm others with invasive self-expression if you sense that they are not interested.
Checking voice, fast speech, or loud speech can disrupt communication. Establish rapport with the speaker to enhance the positive communication information and establish a working relationship. Display appropriate assertiveness by making requests of others without demanding. Use confidence by making affirmations of understanding, respect, or empathy.
Observe the nonverbal feedback given by your conversational partner. The tone of your voice should be supportive, positive, and create a sense of connection with others. Keep an open and relaxed posture, permitting a balanced, symmetrical body position.
Check your body language and the picture that you present to others. Ask for specific feedback on how you communicate via body movements and use this feedback to improve your rapport.
